Terms of Service
Effective Date: January 1, 2026
These Terms of Service (“Terms”) constitute a legally binding agreement between you and Charlotte Chess Center (“Charlotte Chess Center,” “CCC,” “we,” “us,” or “our”) governing your access to and use of our websites, mobile or web-based applications, registration systems, and related services (collectively, the “Services”).
By accessing, registering for, or using the Services, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated by reference. If you do not agree, you may not use the Services.
1. Eligibility and Authority
You must be at least eighteen (18) years old to create an account. Parents or legal guardians may create accounts and register minors. By registering a minor, you represent and warrant that you are the parent or legal guardian and have legal authority to bind the minor to these Terms. You accept full responsibility for the minor’s participation, conduct, and compliance with these Terms.
2. Account Registration and Responsibilities
When creating or maintaining an account, you agree to provide accurate, current, and complete information, including date of birth for yourself and any registered minor. You are responsible for maintaining the confidentiality of your login credentials and for all activity conducted under your account.
CCC reserves the right to restrict access, cancel registrations, or terminate accounts if information provided is inaccurate, misleading, or incomplete.
3. Programs and Services
CCC offers chess tournaments, instructional classes, camps, memberships, academies, and scholastic or youth programs. We reserve the right, at our sole discretion, to modify, reschedule, relocate, suspend, or cancel any program, event, instructor, facility, or service offering without liability.
4. Fees, Payments, and Refund Policy
All fees are disclosed at the time of registration and must be paid in full to secure participation. Unless expressly stated otherwise in writing, all fees are non-refundable.
Failure to attend, withdrawal from a program, dismissal for misconduct, or partial participation does not entitle you to a refund. Any refunds or credits issued are at the sole discretion of CCC unless required by applicable law.
5. Cancellations and Schedule Changes
CCC may cancel or reschedule programs due to low enrollment, instructor availability, facility issues, weather, public health concerns, or other circumstances beyond our control. In the event of cancellation by CCC, a refund or credit may be offered at our discretion.
6. Code of Conduct
Participants and account holders are expected to behave respectfully toward staff, instructors, volunteers, and other participants, comply with all posted rules and applicable chess regulations, and refrain from cheating, harassment, abusive language, or disruptive behavior.
CCC reserves the right to remove or suspend any participant or account without refund for violations of conduct standards or behavior deemed unsafe or inappropriate.
7. Media Release
By participating in CCC programs or events, you grant CCC the irrevocable right to photograph, record, and use the likeness, image, voice, or name of you or your child for promotional, educational, or archival purposes without compensation, unless you notify CCC in writing of your objection.
8. Assumption of Risk and Release of Liability
Participation in CCC programs involves inherent risks, including but not limited to personal injury, illness, emotional distress, or property loss. You knowingly and voluntarily assume all such risks for yourself and any registered minor and release CCC from liability to the fullest extent permitted by law.
9. Disclaimer of Warranties
The Services are provided on an “AS IS” and “AS AVAILABLE” basis. CCC disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement.
10. Limitation of Liability
To the maximum extent permitted by law, CCC shall not be liable for indirect, incidental, consequential, or special damages. CCC’s total liability for any claim shall not exceed the amount paid by you for the specific program or service giving rise to the claim.
11. Indemnification
You agree to indemnify, defend, and hold harmless Charlotte Chess Center and its officers, directors, employees, instructors, and agents from any claims, damages, liabilities, costs, or expenses arising from your use of the Services, your violation of these Terms, or your or your child’s participation in any CCC program or event.
12. Third-Party Services
The Services may integrate or rely on third-party providers, including payment processors. CCC is not responsible for the availability, content, or policies of third-party services.
13. Termination
CCC may suspend or terminate your account or access to the Services at any time, with or without notice, for violations of these Terms or for any reason at our discretion, without liability.
14. Governing Law
These Terms are governed by and construed in accordance with the laws of the State of North Carolina, without regard to conflict-of-law principles.
15. Venue and Jurisdiction
Any dispute arising out of or relating to these Terms or the Services shall be brought exclusively in the state or federal courts located in Mecklenburg County, North Carolina. You consent to personal jurisdiction and venue in those courts.
16. Severability and Waiver
If any provision of these Terms is held unenforceable, the remaining provisions shall remain in full force and effect. Failure to enforce any right is not a waiver of that right.
17. Entire Agreement
These Terms and the Privacy Policy constitute the entire agreement between you and Charlotte Chess Center regarding the Services and supersede all prior agreements or understandings.

1. Scope of This Privacy Policy
This Privacy Policy applies to information collected through CCC websites, applications, online registration systems, and digital communications. It does not apply to information collected offline unless expressly stated.
2. Information We Collect
Automatically Collected Information
We may automatically collect information such as IP address, browser type, device identifiers, approximate location, time stamps, pages viewed, and usage patterns through cookies, log files, pixels, and similar technologies.
Personal Information You Provide
We may collect personal information you voluntarily provide, including full legal name, date of birth, email address, phone number, mailing address, emergency contact information, account credentials, and program participation details.
Information About Minors
When a parent or legal guardian registers a minor, we may collect the minor’s name, date of birth, school affiliation (if applicable), program enrollment details, and emergency or safety-related information provided voluntarily. This information is collected solely for administrative, eligibility, safety, and compliance purposes.
Payment and Transaction Information
Payments are processed by third-party providers. CCC does not store full payment card numbers but may retain transaction identifiers, billing contact details, and payment status for recordkeeping.
3. How We Use Information
We use personal information to operate and improve the Services, administer registrations and programs, verify age and eligibility, communicate regarding schedules or emergencies, process payments, prevent fraud, enforce our Terms of Service, comply with legal obligations, and send informational or promotional communications subject to opt-out rights.
4. Cookies and Analytics
We use cookies and analytics tools to understand usage patterns and improve functionality. You may disable cookies through your browser settings, though some features may not function properly.
5. Sharing and Disclosure of Information
We may share information with service providers assisting our operations, to comply with legal requirements, to protect safety and rights, or in connection with a merger, sale, or reorganization. We do not sell personal information.
6. Data Retention
We retain personal information only as long as reasonably necessary to fulfill the purposes described in this Policy, comply with legal obligations, resolve disputes, and enforce agreements. Information related to minors and dates of birth may be retained longer where required for safety or compliance.
7. Data Security
We implement reasonable administrative, technical, and physical safeguards to protect personal information. However, no system can be guaranteed to be completely secure.
8. Children’s Privacy
CCC does not knowingly collect personal information directly from children without parental consent. All minor participation must be initiated and managed by a parent or legal guardian.
9. Your Rights and Choices
You may request access to, correction of, or deletion of your personal information by contacting us. Certain information may be retained where required by law or legitimate business needs.
10. Do Not Track
We do not respond to “Do Not Track” browser signals.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Changes are effective upon posting. Continued use of the Services constitutes acceptance of the revised Policy.

Events Terms and Conditions

The following terms and conditions apply upon registering for or attending Charlotte Chess Center events, with immediate effect. A player, guest, or spectator, (referred to herein as “Player” or “You” or “Your”) attendance at any Charlotte Chess Center (referred to herein as “Charlotte Chess Center” or “CCC” or “Our”) event indicates your agreement to these Terms and Conditions.

A. All Events – Refund and Forfeit Policy
If you must cancel participation before an event, you are usually entitled to a partial refund of your entry fee, as long as you notify us well in advance of the event beginning. A transaction fee will apply to all refunds - the exact fee schedules are listed on the individual websites. Transaction fees will still apply for refunds required for erroneous registrations. Players that register for free are still required to provide sufficient notice of a withdrawal so as not to adversely affect the event.
Once an event begins, there is no possibility of a refund. Furthermore, players must notify tournament staff early if they are going to withdraw (cancel participation) from an entire event or certain round(s) of an event. Failure to provide sufficient notice or forfeiting (no-showing) may result in a substantial financial fine.
The following are the only acceptable notification of withdrawal methods: notifying tournament staff in-person, emailing events@charlottechesscenter.org, or signing the withdrawal sheet at the chess control desk. All withdrawals must be completed prior to the posted deadline for withdrawals, and prior to the next round’s pairings being posted.

Quad events – once play begins, withdrawals are not permitted.

Other CCC “club” events – see website for exact schedule of withdrawals. Withdrawals must be submitted before pairings are posted.

Multi-day and weekend events – 90-minute withdrawal notice is required unless a shorter notice period is advertised on the event website.

Penalties (fines) of up to $200 will usually apply for insufficient notice or forfeiting (no-showing) of games in CCC multi-day and weekend events.
-
Players who incur such a fine may not participate in future CCC events or activities until the fine has been paid.

B. Norm Invitationals – Withdrawals
Once a player confirms their participation in a norm invitational event, they should not withdraw.
Players who must cancel prior to the event due to emergency must inform the organizers as soon as possible. Withdrawals prior to the event may, in the CCC’s sole discretion, result in a partial refund:

Withdrawals by conditioned players or players receiving free entry must be submitted at least 5 weeks prior to round 1. Shorter notice may result in such players being barred from future CCC tournaments.

Withdrawals until 8 weeks prior to round 1: Refund entry fee less $100 penalty
-
Withdrawals until 5 weeks prior to round 1: Refund entry fee less $200 penalty

Withdrawals until 3 weeks prior to round 1: Refund entry fee less $300 penalty

Withdrawals less than 3 weeks (21 days) prior to round 1: no refund, full entry fee penalty

Once a norm invitational event begins, withdrawals are not permitted due to the nature of round robin events. All players must play all 9 rounds.
C. Invited Player Conditions
Many Charlotte Chess Center events offer hotel accommodation, travel stipends, or similar compensation to titled players and streamers – known as player “conditions.”
Player conditions are a privilege, not a right afforded to any player by his or her title or rating. Player conditions for events are not guaranteed and are based on a variety of factors. CCC may withhold, modify, reduce, or offer different conditions to players or decide not to issue invitations to a specific player or players at any time in its sole discretion. Conditions are discretionary and are based on a case-by-case basis; the amount and extent of player conditions are determined at the CCC’s sole discretion as the event organizer.
Players who fit the description of the advertised conditions schedule are not necessarily entitled to such conditions. Such participants are welcome to apply for or request such conditions, which may be denied or altered for any reason, including but not limited to: event budget, current rating / ranking / title, timing of request, and/or previous interactions with said player. CCC also reserves the right to change the criteria for conditions without advance notice.
D. Photo, Video, Streaming, Content Policy
By registering for or attending a CCC event, players and guests grant permission to CCC to take and use photographs and video for purposes related to the event and/or the Charlotte Chess Center and reproduce the same on websites, printed material, advertising, and social media. CCC may distribute such photos and videos to third parties for purposes related to publicity and content.
The CCC often invites streamers and content creators to tournaments and side events. These invitees are given full access to the playing halls and tournament areas to place their own equipment and produce their own content. Live and recorded content, including live streams with commentary, may be produced by CCC, players, or guests during our events.
Any player or guest who is not comfortable with potentially appearing in photo, video, streaming, or other content (produced by CCC and/or other third parties), should not attend.
D1. Streaming Opt-out Policy – Classical Events
Players who are paired against a streamer in a classical game at a CCC event, do not have the option to decline to play against them, nor to decline to appear on a broadcasted board, have a camera recording/broadcasting the game, or have their game commentated on.
As a default, most third-party streamers will usually have the camera view of both players, the board, and surrounding areas.
At most CCC events, pairings are usually posted at least 30 minutes prior to the round. Streamers are usually noted with an asterisk (*) by their board number in the online pairings. Any player who is paired against a streamer and does not want to appear on video, must make such request to tournament staff by email or in person at least 20 minutes prior to the round. In this case, the CCC will make reasonable efforts to request that the camera view (angle) be adjusted to show mainly the streamer and the board, and avoid recording most, but not necessarily all, of the requesting player.
D2. Streaming Policy – Rapid, Blitz, and Side Events
Any players and guests who enter or attend rapid events, blitz events, engagement activities, and/or other side events, other than classical tournaments, as part of CCC events may not decline to be paired against any streamer or appear on any stream, photographs, videos, or other types of live or recorded media, including official CCC media and third-party streamers.
Attendance at any such event as a player, guest, or spectator indicates your agreement with these terms. If you do not want to appear in promotional pictures, videos, streams, or commentary, by the CCC itself and/or third-party content creators, do not attend CCC rapid events, blitz event, engagement activities, or other side events.
E. Accommodations
Players who need special accommodation to attend or play will be reasonably accommodated to the best of our ability. While we do not provide volunteer assistants or special equipment, we can often provide other forms of assistance to players as necessary. If this is the case, please email us at least 2 weeks prior to the event in question so that we can be prepared by the time of the event.
F. Player and Guest Obligations
Players and guests are required to abide by these terms and conditions as well as all applicable local and venue laws/regulations and any event rules and requirements.
Player and guests agree to indemnify, defend, and hold harmless the CCC, CCC staff, volunteers, vendors, event venue, event platforms, other players and guests, and any third parties from and against any loss, cost, or damage of any kind (including reasonable outside attorneys’ fees) arising out of Player or Player’s guest’s conduct or failure to comply with these Terms and Conditions.
G. Warranty, Limitation of Liability, Jurisdiction
By attending the tournament or event, Player agrees that their access to any event and use of any of the content is at your sole risk and responsibility. Except as expressly stated in these Terms and Conditions, the CCC makes no express or implied warranty or representation in connection with any tournament or event.
In no event will CCC be liable, whether based in contract, tort (including negligence), breach of statutory duty or otherwise, for any indirect or consequential losses. CCC’s total liability for any action arising under or related to these terms shall not exceed the total sums paid by player for the applicable event.
These Terms and Conditions and all other CCC policies and rules shall be governed, construed, and enforced by and in accordance with the laws of the State of North Carolina.
H. Payment of Prizes and Conditions
In large CCC events, payments from the organizer are issued by check, Paypal, or Zelle.
Payments are only written to the winners/players, not to third parties.
US residents who earn $600 or more in CCC events in a calendar year will be required to provide a US Social Security number and possibly other information.
If you are a non-resident alien, the organizer must withhold and send to the IRS 30% of your payment. If this is the case, you will receive a 1042 form in the following year. You may use this form to submit a tax return to the IRS to attempt to recover some or all of the withheld tax.
If your US tax status changes within the same calendar year, you are required to notify us in a timely manner.
I. Mailing Lists
By registering for a CCC event, your email may be added to our email lists. The CCC does not distribute or sell private or contact information.
J. No Solicitation Policy
To ensure a focused, fair, and welcoming environment, solicitation of any kind is strictly prohibited at all Charlotte Chess Center (CCC) tournaments and events.
Prohibited activities include, but are not limited to:

Distribution of flyers, business cards, or promotional materials.

Soliciting donations, sponsorships, or financial contributions.
-
Advertising or promoting private lessons, competing programs, events, products, or services.
-
Recruiting participants for non-CCC programs or organizations.
-
Any verbal, written, or digital solicitation directed at players, parents, spectators, staff, or volunteers.
Exceptions may be granted only with prior written approval from CCC management.
CCC reserves the right to immediately remove unauthorized materials, require individuals to cease prohibited activity, remove individuals from the event, and/or suspend or ban participation in future CCC events for violations of this policy. Participation in a CCC tournament constitutes acknowledgment of and agreement to comply with this policy.
Streamer Terms and Conditions

These terms and conditions apply to all invited streamers participating in Charlotte Chess Center (CCC) events. For questions or requests, please contact: events@charlottechesscenter.org
A. Eligibility Requirements
To be eligible to live stream at a CCC event, invited streamers must satisfy at least one of the following requirements:
A.1 Live Streaming Platform Requirement
The streamer must have a combined total of at least 5,000 followers or subscribers across one or more of the following live streaming platforms:

Twitch

YouTube
-
Kick
A.2 Social Media Reach Requirement
The streamer must have a combined audience of at least 10,000 followers across one or more of the following social media platforms:

Facebook

Instagram
-
X (formerly Twitter)

TikTok
-
Snapchat
Follower and subscriber counts must be verifiable upon request. CCC reserves the right to assess platform relevance, audience authenticity, engagement quality, and prior conduct when determining eligibility.
A.3 Discretion
Meeting the numerical thresholds does not guarantee approval to stream. CCC reserves the right to approve, deny, suspend, or revoke streaming privileges if a streamer’s content, conduct, prior behavior, audience authenticity, or overall presence is deemed inconsistent with CCC standards, event integrity, fair play requirements, player welfare, or organizational reputation.
Approval to stream does not automatically entitle the streamer to complimentary entry, lodging, or other accommodations.
B. Streamer Accommodations and Benefits
At CCC’s discretion, eligible streamers may receive certain accommodations in recognition of their audience reach and promotional value. Accommodations are not guaranteed and may vary by event.
Complimentary Event Entry Eligibility
A streamer may be eligible for complimentary entry into a CCC event if any of the following conditions are met:

The streamer has a combined total of more than 25,000 followers or subscribers across Twitch, YouTube, or Kick.

The streamer has a combined audience of 40,000 or more followers across Facebook, Instagram, X, TikTok, or Snapchat.
Points below are general requirements for all streamers:

The streamer is actively live streaming their participation in the event in accordance with CCC Streamer Terms and Conditions.

The streamer remains in full compliance with all CCC policies, including fair play, equipment, publicity, and player privacy requirements.

Follower and subscriber counts must be accurate and verifiable upon request.
Discretion and Limitations
-
Complimentary entry applies only to event registration fees and does not include travel, lodging, meals, or other expenses unless explicitly approved in writing by CCC.
-
CCC reserves the right to approve, deny, or revoke complimentary entry at any time if a streamer’s conduct, content, or behavior is deemed inconsistent with CCC standards, event integrity, or player welfare.

Failure to stream as represented may result in loss of complimentary entry and/or revocation of future streaming privileges.
-
CCC reserves the right to limit the number of complimentary entries granted per event regardless of eligibility thresholds.
C. Property of Content
C.1 Streamer-Owned Content
All content produced by the streamer at CCC events—including live streams, recordings, photography, and edited media—remains the property of the streamer. CCC does not claim ownership, require commissions, or impose censorship on streamer-produced content unless otherwise agreed in writing.
C.1.a Content Removal or Stream Termination
CCC reserves the right to request removal of content or immediate termination of a stream if any of the following occur:

A minor appears on stream and a parent or guardian requests removal.
-
Content is edited or presented in a manner intended to belittle, mock, or unfairly portray a player or the CCC.
-
Content captures an emergency or sensitive incident (e.g., medical emergencies, disputes, or safety concerns).
C.2 CCC-Owned Content
Any content recorded or photographed by CCC staff using CCC equipment is the property of CCC. Such content may be shared with streamers upon request for reposting, provided proper credit and tagging of CCC are included.
D. Publicity and Promotional Requirements
D.1 Likeness and Media Use
By accepting an invitation, streamers grant CCC permission to use their name, image, likeness, and recorded media for promotional purposes before, during, and after the event across CCC websites, broadcasts, and social media.
D.2 Pre-Event Promotion (Required)
Prior to the event, streamers must publish at least one social media post announcing their attendance and tag the Charlotte Chess Center. Inclusion of the event website is encouraged but not required.
D.3 On-Stream Promotion (Required)
During live streams of the event, streamers must include:

A one-sentence event description and event website
-
Placement in the stream title and as a timed command or automated message
Example:

E. Equipment and Setup
E.1 Equipment Responsibility
Streamers are responsible for supplying all necessary equipment, including cameras, computers, adapters, chargers, tripods, extension cords, and accessories.
CCC will attempt—but does not guarantee—to assign DGT boards with broadcast delay, subject to fair play requirements. CCC will endeavor to seat streamers in a consistent location throughout the event.
E.2 Setup Requirements

All equipment must be fully tested and ready several hours before Round 1.

Equipment must be set up at least 10 minutes prior to each round. Failure to do so will result in that round not being streamed.
E.3 Device Restrictions During Play
Once a round begins:

Streamers should not view or interact with laptops, phones, or streaming devices.
-
If a technical issue occurs, it must be addressed under the supervision of an arbiter or tournament director.
-
If supervision is unavailable, CCC may designate a third party to resolve the issue without communicating with the streamer.
E.4 Broadcast Restrictions (Required)

Chat windows and engine evaluation bars must not be visible in the playing hall at any time.
-
Violations may result in forfeiture of the game at CCC’s discretion.
E.5 Equipment Limits
Streamers are limited to:

One camera
-
One tripod
-
One computer
Requests for exceptions must be submitted in advance to events@charlottechesscenter.org
F. Player Privacy and Consent
-
Any player paired against a streamer may request not to appear on camera.
-
When an opponent opts out, CCC staff will notify the streamer and require immediate camera adjustment to exclude the requesting player.

When streaming games involving minors, streamers are expected to make a reasonable effort to confirm that the child and parent/guardian understand that streaming is taking place.
Failure to comply with player privacy requests may result in suspension or revocation of streaming privileges.
School Programs Terms and Conditions

Parent Volunteers Welcomed
Club parents are invited to volunteer with the Chess Club. Volunteers help us welcome students, maintain a fun and educational atmosphere, and ensure an orderly dismissal.
If you are interested, please reply with your full legal name and complete your school's volunteer form. We will verify your eligibility directly with the school. Thank you in advance for your support.
Eligible Participants
Only children enrolled in the Chess Club may attend. Children who are not on the roster will be directed to the school’s main office. Please do not send other children.
Holidays, Early Release Days, and Other Schedule Exceptions
Chess Club is held only on days and times when your school is in session and the building is open for in-person learning. If your club day falls on a holiday, early release day, delayed start, inclement weather day, asynchronous day, remote learning day, etc., these sessions are not rescheduled, made up, credited, or refunded.
Missed Classes
If your scholar misses a class due to late registration or personal reasons, credits or make-up classes are not available.
However, we provide a free ChessKid Gold membership to support additional learning opportunities, including when a class is missed.
Behavior Expectations
Good sportsmanship and respectful behavior are essential. Students who consistently struggle to follow instructions or participate appropriately in group settings may be asked to join at a later time. Serious behavior violations, such as physically hitting another student, will result in immediate removal from Chess Club without refund.
Late Pick-Up
It is critical that your child is picked up on time after each session.

Multiple late pick-ups (5 minutes or more) or

One excessive late pick-up (30 minutes or more)
will result in immediate removal from Chess Club without refund.
No Early Release / No Early Pick-Up
To maintain safety and comply with school rules:

Children cannot be released before the session ends.

Parents cannot enter the building for early pick-up.
Please do not send children on days when they cannot attend the entire session.
Snacks and Beverages
Snacks are not provided by CCC or school staff. If you would like your child to have a snack or beverage:

Verify that the school allows snacks in the meeting room.
-
Provide only peanut-free items.
-
Snacks must be consumed before the session begins.
-
Your child must clean up immediately and dispose of all trash.
ChessKid Gold Membership
ChessKid.com is a safe, child-friendly platform with over 3 million users worldwide.

Your child will receive a free ChessKid Gold membership for the duration of their enrollment in the school Chess Club hosted by CCC.

Registration instructions will be sent within the first few weeks of the club’s first meeting.

Accounts must be listed under the child’s first and last name to match the roster. Accounts that do not match will have Gold membership removed.
CCC Cancellations / Refunds – 10-Weeks or More Clubs
Prorated refunds (less a 5% transaction fee) are available if requested via email:

Before 3rd meeting: Full refund

Before 4th meeting: 50% refund
-
On or after 4th meeting: No refund
These time periods apply regardless of registration date. No credits permitted.
CCC Cancellations / Refunds – Less than 10-Weeks Clubs
Prorated refunds (less a 5% transaction fee) are available if requested via email:

Before 2nd meeting: Full refund

Before 3rd meeting: 50% refund

On or after 3rd meeting: No refunds
No credits permitted.
School / PTO / PTA Cancellations / Refunds
If enrollment fees were paid directly to your school, PTO, or PTA, please contact them for their cancellation and refund policies. No credits are allowed.
Late Enrollments & Waitlists

Registration temporarily closes the day before each club session.

Families may join the waitlist.

If space becomes available, registration will reopen and waitlisted parents will be notified.
CCC Membership
Membership in CCC is not required for participation. Membership can be purchased separately, if desired.
Photo / Video Release
By participating, you acknowledge that your child’s images or videos may be used without limitation in print, online, websites, and social media. You waive any right to royalties or compensation.
Examples: Learning in class, graduation photos, tournament awards, or thinking poses during matches.
